What You’ll Be Doing:
This role is responsible for welcoming staff, clients, volunteers, tenants and visitors to Snowdrop by creating a safe and welcoming environment and supporting the wider team with administrative tasks.
Reception Duties:
This role is responsible for creating and maintaining a welcoming, safe and friendly atmosphere for service users, visitors, volunteers and staff members. This includes:
- Reception duties such being primarily located at the main reception desk, welcoming visitors and clients and offering refreshments.
- Receiving visitors by greeting, welcoming and directing people appropriately.
- Ensuring the reception space is safe, hygienic and that all visitors sign in appropriately.
- Answering the main office phone, screening and forwarding phone calls to the relevant staff member, dealing with general queries in a friendly, professional and compassionate manner.
- Confidence and compassion in handling situations in reception and following procedures for escalation
- Managing the info@snowdropproject.co.uk, reception@snowdropproject.co.uk and recruitment@snowdropproject.co.uk email accounts, screening and forwarding enquiries to relevant staff, responding to emails in a professional, friendly and compassionate manner, in line with our brand guidelines.
- Providing basic and accurate information in-person and via phone/email.
- Ensuring reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
- Acting as one of the fire marshals and first aiders for the building (training will be provided)
- Maintaining office security by following safety procedures and controlling access via the reception desk (monitor the signing-in books).
- Following safeguarding policies and procedures where necessary and keeping an accurate record of situations.
- Administering and recording the use of petty cash
- Being responsible for opening/closing the office building and coordinating opening/closing times with the larger team and tenants.
Facilities Duties
Liaison with Facilities Manager regarding:
- Scheduling and supporting with external room bookings as required
- Scheduled works and ensuring access for building maintenance contractors.
- Actioning and escalating observed changes/repairs required.
Administrative Duties:
This person will play a key role in administering certain financial duties and assisting the Head of Finance and Resource with their reporting duties, keeping the organisation running in a smooth and efficient manner. This could include but not limited to:
- Oversee the payment of petty cash to clients and staff including ensuring that proper records and receipts are kept. Produce a reconciliation of the petty cash account on a monthly basis.
- Updating calendars and scheduling meetings.
- Keeping up to date records as necessary.
- Performing other receptionist duties such as filing, printing, photocopying.
- Receiving and sorting post.
- Carrying out ad-hoc administrative duties for other departments where agreed.
Support the Wider Snowdrop Team:
To work with the team to coordinate excellent service delivery and support for volunteers and service users in line with the Mission, Vision and Values of the Snowdrop Project. This includes the following:
- To participate in any team meetings and brainstorming sessions as part of the Snowdrop Team.
- To promote and support internal activities.
- To create content and information for staff and/or tenants and, where requested, for external events
General:
- To promote & deliver the highest standards of respect and support to clients, staff, tenants, volunteers and visitors.
- To undertake other duties as may be required and which are consistent with the nature of this role.
- All employees are subject to an annual appraisal and to maximise the benefit from this process the employee must engage fully in the review and agree with their Line Manager organisational, team and personal objectives.
- Each employee must co-operate and attend all appropriate mandatory and statutory training as required by the organisation.
Development:
All staff and volunteers at the charity are encouraged to contribute to identifying and meeting their own job-related development needs. This will be achieved through a variety of processes including regular 1-2-1’s with Line Managers or senior colleagues, annual appraisal and development reviews.
