Salary:                   £26,277.50 – £30,000 per annum (depending on experience)

Working hours:           37.5 hours per week

Location:                 Rotherham Town Centre

Reports to:              Managing Director

Direct Reports:        Volunteer Administrators

We are a Peer Support organisation created in Rotherham in 2021, we work alongside people to provide lived experience, opportunities and space. Supporting people through early intervention, shared empowerment and understanding of recurring and serious mental illness. The Role of our Office Manager

The Office Manager is responsible for the effective day-to-day running of the organisation’s administrative, office, and operational systems. The role ensures smooth internal functioning, compliance with procedures, and practical support to staff, enabling the Managing Director to focus on strategic leadership, development, and external relations.

Main Duties

  1. Office & Administrative Management
  • Oversee daily office operations and ensure the smooth functioning of administrative systems
  • Manage shared calendars, meeting logistics and room bookings
  • Maintain organisational records, filing systems and databases
  • Act as first point of contact for general operational queries
  • Support basic reporting and data collation as required
  1. Operational Coordination
  • Coordinate day-to-day operational tasks and workflow
  • Referral management
  • Support group delivery logistics (room bookings, materials, timetables)
  • Ensure policies and procedures are followed in practice
  • Liaise with external suppliers and contractors where required
  • Monthly internal and external reporting, previous experience of MHSDS or other NHS reporting would be advantageous

 

  1. Facilities, Health & Safety & Compliance
  • Oversee facilities management and building operations
  • Coordinate fire safety processes, checks and documentation
  • Liaise with landlords, maintenance providers and contractors
  • Ensure compliance with health & safety requirements
  • Maintain confidentiality and handle sensitive information as per GDPR guidelines and in line with company policy

 

  1. HR & Workforce Administration (Operational Only)
  • Coordinate recruitment administration (advertising, applications, interview logistics)
  • Prepare contracts, offer letters and onboarding paperwork
  • Maintain HR records, DBS tracking and reference documentation
  • Process sickness, annual leave and payroll amendments
  1. Communications & Digital Administration
  • Update the website with agreed content
  • Support marketing and promotional activity
  • Schedule and post social media content as directed
  • Coordinate internal communications and notices
  1. Volunteer Administration (Operational Support Only)
  • Coordinate volunteer applications and onboarding administration
  • Maintain volunteer records, schedules & Expense approvals
  • Support volunteer meetings and logistics

 

Personal Specification

EssentialDesirable
Proven experience in an Office Manager role or similar position.Understanding of Mental Health & Recovery

 

Confident, clear communication and interpersonal skills.Statutory Service Knowledge

 

Proficiency in Microsoft Office suite (Word, Excel, Outlook, etc).Full UK Driving License and access to vehicle

 

Strong organisational and time management abilities. 
Attention to detail and accuracy. 
Ability to multitask and priorities tasks effectively. 
DBS clearance (to be completed as part of recruitment). 
Organised, reliable, and proactive 
Calm and adaptable
